Cash Flow Management for Small Businesses
Why Cash Flow Matters More Than Profit
A profitable business can still fail if it runs out of cash. Profit is an accounting concept; cash flow is what pays the bills. Understanding the difference is critical. You might have invoiced $100,000 this quarter, but if your customers have not paid yet, you may not have the cash to cover wages, rent, and supplier invoices.
The Cash Flow Cycle
Every business has a cash flow cycle: the time between paying for inputs (materials, labour, overhead) and receiving payment from customers. The shorter this cycle, the healthier your cash position. Service businesses often have shorter cycles than manufacturers or construction firms.
Strategies to Improve Cash Flow
- Invoice promptly. Send invoices as soon as the work is done or goods are delivered. Every day of delay extends your cash cycle.
- Shorten payment terms. Consider 7-day or 14-day terms instead of 30 days. Offer a small discount for early payment if it makes financial sense.
- Chase overdue invoices. Have a systematic follow-up process. Automated reminders at 7, 14, and 21 days overdue can significantly improve collection rates.
- Negotiate supplier terms. If your suppliers offer 30-day terms, use the full 30 days. This keeps cash in your account longer.
- Forecast regularly. A 13-week cash flow forecast helps you see problems before they arrive and take action early.
Warning Signs
Watch for consistently rising accounts receivable, increasing reliance on overdrafts or credit lines, delaying supplier payments, and difficulty meeting payroll. These are signs that your cash flow needs attention before the situation becomes critical.
How Kumry Helps
Kumry keeps your bank accounts reconciled, shows aged receivables and payables so you can see who owes what and what you owe, and lets you set budgets to compare against actual results. Recurring transactions keep regular income and expenses on schedule. A cash position is only as good as the reconciliation behind it, so check which accounts and statement dates a figure covers before relying on it.
